Itemised verification records

Record the applicable requirement, edition, clause, parameter, method, report page, conditions, values, units, finding and reasons. A single “all passed” checkbox cannot replace specific evidence.

Independent confirmation

Official institutional directories and report-validation channels are checked. Where necessary, independent confirmation uses genuine, available contact details. Verification must not rely solely on applicant-provided contacts that cannot be independently checked or on images of seals.

Missing or conflicting evidence

A request for further information identifies the issue, report or clause, required material and response deadline. It explains why existing material is insufficient where reports conflict or configuration, qualifications or authenticity are uncertain. Original, revised and supplementary versions remain separate. Other strengths cannot resolve an outstanding essential issue. Deadlines and subsequent responses follow GSQA-PRG-008.

Confirm product and scope

Check authority, model, configuration, use and actual target jurisdictions, then establish all applicable requirements and reasoned exclusions. Nominations, research leads and direct applications follow the same conditions. Additional countries and territories are examined by their actual jurisdiction; a missing research page does not establish exclusion, and a market listed in navigation does not establish compliance.

Verify reports and testing bodies

Check complete reports and attachments, the body’s qualifications for the methods and site, authenticity, product correspondence, measured data and clauses. Where necessary, confirm through independent official channels.

Resolve omissions and questions

Specific requests for additional documents are issued for conflicts, omissions or authenticity concerns. Unresolved critical issues cannot be offset by other favourable results. All versions remain traceable.

Make an independent decision

Verifiers provide itemised findings. An authorised person who did not perform the verification and has no unresolved conflict makes the decision. An award requires all conditions to be met and a reliable core performance margin. The outcome includes reasons.

Register, publish and maintain

Once the necessary publication and licence conditions are satisfied, publish the specific scope, basis, validity period and certificate. Subsequent changes, renewals, suspensions, revocations and corrections retain their history.

Review file and handover

The file connects each requirement to its edition, clause, method, conditions, limit, measured value, report page and finding. Qualifications, independent confirmations, additional information and unresolved matters stay with the case. Handover identifies the review version and completeness. Front-end progress labels and applicant checkboxes are not technical evidence.

Decision, publication and follow-up

After technical review, an independently authorised person decides under GSQA-PRG-004. A decision is not itself publication or permission to use the mark; disclosure files, rights and licence conditions must also be checked. Renewal, technical changes, additional markets, complaints and corrections follow their respective procedures and remain linked to the original case and decision.
