Document Origin and Authentication Procedures
GSQA-EVD-006
Provenance details
For every original report, translation, notarial and authentication document, record its name, actual issuer, country or territory, legal nature, language, number, version, pages and annexes. Brand origin, manufacturing location, target market and place of issue are separate. An other-country selection must identify the actual place, not merely an “other” code.
Official authorities and sources
Check the applicable HCCH Convention relationship, competent authority and actual procedural rules, recording links and dates. Document language does not automatically determine a country’s processing authority.
Documents from multiple jurisdictions
Where reports, translations and notarisation originate in different places, check each procedure before linking the document chain. Retain verifiable electronic-authentication information. An inaccessible QR-code image is not verified evidence.
State the actual origin
Identify the place of issue and nature of the report, translation and notarial document separately, and select the original report language. This checklist organises procedural questions; it does not replace the issuing authority’s actual requirements.
Check official rules before applying
Use the HCCH status table and competent-authority directory to establish applicability and authority. Where the Convention does not apply or acceptance has special conditions, confirm the actual procedure before proceeding.
Retain links and verification evidence
Link originals, translations, notarisation, authentication and official verification entries to each report number and version. On receipt, recheck attachment scope, signatures and numbers to avoid authenticating a document different from the application evidence.
Route checks and document links
Link originals, translations, notarial instruments, authentication numbers and verification records to the report. Reissue or revision requires checking whether earlier formalities still correspond to the new content, retaining the differences. A provenance checklist identifies issues but does not decide for an issuing authority. Resolve doubts without misrepresenting issue location or document type.
Submission, verification and further use
Submit completed documents and their links in the case evidence steps. Review independently checks provenance and scope. Authentication does not remove complete-English, authenticity, qualification or technical comparison requirements. Publication follows GSQA-EVD-005 separately; a complete authentication chain containing personal material is not a default public attachment.
